Speaker agency for industry and mid-sized companies: conference stages instead of a trade fair stand
A speaker agency for industry and mid-sized companies gets experts onto professional conferences in front of decision makers in their sector and handles the work from conference research to the stage. We submit through calls for papers and approach organisers directly where conferences fill their programmes by invitation. At a professional conference you speak to people who want to solve a problem from your field, while a trade fair stand waits for visitors to stop. This article shows what that route looks like for industry and mid-sized companies, which stages exist, what the agency takes over and what it costs you.

How does a speaker agency get industry and mid-sized companies onto the stage?
A speaker agency gets experts from industry and mid-sized companies onto the stage by two parallel routes, because professional conferences fill their programmes in two ways. Many advertise their speaking slots in a call for papers, the public announcement with which a conference collects talk proposals, and there we submit in larger numbers. Association and industry conferences more often fill their programmes by invitation and personal approach, and there we write to the programme leads directly.
This gives you a test question for any agency, namely how it reaches conferences that have no open call. Our answer: we find the person responsible for the programme, write to them with a letter tailored to the conference and follow up if no reply comes. Further selection criteria are listed in Finding a speaker agency, and the speaker agency guide gives the overview of services, models and costs.
Which professional conferences are there for industry in Germany?
Industry in Germany has four kinds of professional stage, which differ in organiser and route into the programme. The first are conferences run by associations and engineering bodies, such as the conferences of the VDI Wissensforum, where engineers and technical managers talk about standards, methods and project experience. The second are congresses run by trade publishers and commercial organisers on subjects such as maintenance, purchasing, logistics or energy. The third are user meetings of software and machinery manufacturers, where customers report on their projects to one another, and the fourth are the forums of large industrial fairs such as Hannover Messe, which run their own talk programme alongside the halls.
Only some of these stages advertise publicly. Of the 2,415 conferences that, according to our analysis, publicly invite talks for 2026, 88 are in Germany. Association conferences and user meetings often invite their speakers without advertising at all, so anyone who searches only calls sees a small slice of the industrial market.
Conference instead of trade fair stand: where do decision makers listen?
Decision makers listen at professional conferences, while at trade fairs they mainly compare products. A trade fair is a sales show where exhibitors present their products at a stand and visitors walk the halls. AUMA, the association of the German trade fair industry, counts 304 national and international trade fairs in Germany with around 190,000 exhibitors in its projection for 2025, and around 13 million people visit these fairs every year. Anyone running a stand there shares the visitors' attention with every other exhibitor in the hall, and a conversation starts when someone stops.
At a professional conference, people in an industry hear talks about their field, so the room is full of people with a concrete professional problem. Whoever speaks there explains a problem and the way to solve it, and the attendees who approach the speaker afterwards have already formed a judgement about their knowledge.
In B2B purchasing, a single person rarely decides. An industrial investment is discussed jointly by engineering, purchasing, management and often maintenance, and buyers form a large part of their judgement before they talk to a supplier. A talk therefore reaches several of these people at once, before the supplier conversations begin. What a stand and a talk cost per contact is compared in Conference talk, trade fair stand or sponsorship.
How do you reach conferences without a call for papers?
You reach conferences without a call for papers with a letter to the person responsible for the programme, and we call this approach mail mode. For industry and mid-sized companies it is part of the work from the start. The agency first finds out who is responsible for a conference's programme, at an association often a technical committee, at a company the events team. It writes that person a letter presenting the talk with its benefit for the audience of that particular conference and follows up if no reply comes.
The letter is partly standardised: the core stays the same and the opening is adapted to the conference. Ten to fifteen such letters a week have proven effective once the conference list is in place. In our experience a letter should arrive four to eight months before the conference, in the phase when the programme is being planned. Alongside this run individual, deeply tailored submissions for the conferences where a talk would measurably change your own client acquisition.
For conferences with a call, our analysis of 2,415 conferences shows a median of 50 days and an average of 65 days between the submission deadline and the start of the conference. Of the 2,189 abstracts we have submitted for clients, 1,374 have been decided and 94 accepted, around 7 per cent per abstract. Per conference we reach up to 19 per cent acceptances, whereas 5 per cent at most is typical in the market at this volume of submissions.
How an agency reaches organisers without a call, and what to watch out for, is described in Contacting organisers directly. No agency can guarantee an acceptance, because the programme committee decides.
What does the agency take on, and what does it cost?
The agency takes on all the work behind the talk, and at Stage Starter it costs from €990 net per month. This is the work Stage Starter takes on for you: we find the right calls, write the submission and submit it, and where there is no call, we approach the organiser directly. Before that we develop the talk and abstracts with you, and afterwards we follow up and support you to the stage. What we need from you is your expertise and one approval, given once before the start, after which not every single submission crosses your desk. You hold the conversations after the talk yourself, because that is where you talk to your future clients.
Anyone who wants a written roadmap first starts with the Speaker Audit from €2,000 net, which is credited when you book the agency. Pay to speak, buying a speaking slot from the organiser, by contrast quickly costs €10,000 or more for a single speaking slot, while the monthly fee covers the whole operation from research to support on the way to the stage. Which other pricing models exist and what a flat fee should include is shown in What does a speaker agency cost?.
Who the model pays off for most
The model pays off most for experts from industry and mid-sized companies with little time, high deal values and the aim of reaching a professional audience, because for them the working days tied up by running submissions yourself weigh most. A year of fees comes to €11,880 net or more, and in industry a single order won usually exceeds that amount clearly. Such an order won through a talk is worth more than any fee an expert would receive for the same talk, and Stage Starter therefore brings you onto professional stages where your clients sit.
Frequently asked questions
Is there a speaker agency for industry and mid-sized companies?
Yes, Stage Starter works on behalf of the expert and submits through calls for papers for industry and mid-sized companies. Where there is no call, we use mail mode, approaching the programme leads directly.
Which professional conferences are there for industry in Germany?
For industry there are conferences of associations and engineering bodies such as the VDI Wissensforum, congresses of trade publishers, user meetings of manufacturers and the talk forums of large industrial fairs such as Hannover Messe. Many of them invite their speakers instead of advertising publicly. An agency reaches them by approaching the programme leads directly.
How do I get onto a professional conference without a call for papers as a mid-sized company?
You get onto a conference without a call through a letter to the person responsible for the programme. The letter presents the talk and its benefit for the audience and should arrive four to eight months before the conference, in the phase when the programme is being planned.
How many conferences with a call for papers are there in Germany?
Of the 2,415 conferences that, according to our analysis, publicly invite talks for 2026, 88 are in Germany. On top of these come many industry and association conferences that fill their programme by invitation and are approached directly.
Does a conference talk replace a trade fair stand?
A conference talk complements the trade fair stand and delivers the conversations from which orders arise. At the stand you show products and meet visitors in the hall, while in a talk to a professional audience you explain a problem and reach decision makers who are listening closely.
Is a trade fair still worth it for a mid-sized company?
A trade fair is worth it for a mid-sized company when a product has to be shown, touched or demonstrated in operation. Around 190,000 exhibitors at national and international trade fairs in Germany show that this channel is a fixed part of industrial marketing. A talk at a professional conference reaches decision makers who want to solve a problem, and the two channels complement each other.
What does a speaker agency for mid-sized companies cost?
At Stage Starter, working together starts from €990 net per month, and the Speaker Audit as an entry point costs from €2,000 net and is credited when you book the agency. Pay to speak, by contrast, quickly costs €10,000 or more for a single speaking slot.
Which professional conferences in your sector are worth considering and what the route through calls and letters would look like for you, we clarify in a first conversation.
