Conference Talk, Trade Fair Stand or Sponsorship: Cost per Contact Compared
In our worked example a serious conversation costs about €1,700 if you give three talks a year through an agency, and about €2,900 through a bought speaking slot at €10,000. A trade fair stand of 20 square metres costs about €19,000 in the example and has to deliver eleven serious conversations to match the talk. The figures rest on example assumptions, on the cost structure of German trade fair participation and on a rule of thumb of five conversations per appearance. This article sets out the calculation so that you can repeat it with your own quotes.

How do you calculate cost per contact in B2B?
You calculate cost per contact by dividing all the costs of a channel by the number of serious conversations it brings. At a trade fair a contact is often a scanned visitor badge, at a conference a conversation after the talk, and with sponsorship, depending on the package, a list of addresses from the organiser. This article therefore counts the same thing everywhere: a serious conversation in which someone describes the problem they have and that you could solve it.
The strict count has a reason, because B2B buying decisions are slow and are made by groups of several people from different functions. A scanned badge tells you nothing about whether its wearer sits in such a group. A conversation in which someone describes their problem shows need and usually their role in the company as well.
For conference talks we use a rule of thumb: in our example one talk brings about five serious conversations, which lead to two meetings, and every third meeting turns into paid work. For trade fair stands and sponsorship packages you put your own quotes and past results into the same formula.
What does a conversation through a conference talk cost?
A serious conversation through a conference talk costs between about €1,700 and €3,300 in our worked example, depending on the number of talks a year. A professional conference is an event where people from one industry listen to talks about their field and talk to each other. A talk there costs you days and travel. As example assumptions we use a day rate of €1,000, four days tied up per talk in another city (two travel days and the conference day, plus one day of preparation) and €600 in travel costs. That adds up to €4,600 of your own effort per talk. How the days and costs of a talk break down is set out in What does a conference talk cost.
Professional conferences that fill their slots through a public call usually pay no fee. What speakers receive at corporate events and as keynote speakers is covered in the guide Speaker fees. For winning clients a different figure counts, because a single contract from one talk is worth more than any fee.
Through an agency, Stage Starter costs from €990 net a month, or €11,880 net a year. Stage Starter takes on this work for you: we find the right calls, write the submission and submit it. We develop the talk and the abstracts with you, the short descriptions of the planned talk that a programme committee reads, then follow up and support you all the way to the stage. You provide the expertise and approve once before the start, and you hold the conversations after the talk yourself.
The programme committee decides on every acceptance. In the first year, one to three talks is a rule of thumb, which gives this worked example:
The total cost includes €11,880 for the agency and €4,600 of your own effort per talk. Each additional talk lowers the cost per conversation, because the fee stays the same and only your own effort grows.
Conference sponsorship and pay to speak: what you are buying
Sponsorship means a company buys a package from the organiser. Logo and exhibitor table are common, and larger packages add a speaking slot. A sponsored talk is a talk a company buys as a sponsor, and with pay to speak a speaker pays the organiser for the slot. A single speaking slot quickly costs 10,000 euros or more, and considerably more at large industry events. We use €10,000 as an example value.
With the example assumptions above, such a slot costs €10,000 plus €4,600 of your own effort, €14,600 in total, and with five conversations that is about €2,900 per conversation. The agency comes in below that from the second talk a year. The calculation is generous to the bought slot, because specialist audiences often read a bought talk as advertising, even when the programme does not mark it as sponsored. When a paid slot is still an option is explained in Do I have to pay for the stage?.
The route without buying goes through the call for papers, the public invitation a conference uses to collect talk proposals. Our database holds around 22,700 conferences, around 1,500 of them with an open call. Across our submissions for clients, acceptance is around 7 per cent per abstract, and per conference we reach up to 19 per cent acceptances, while at this volume of submissions the market norm is 5 per cent at most.
What does a trade fair stand cost per square metre?
Space rental alone usually costs between about 100 and 300 euros per square metre at German trade fairs with national or international reach, and it makes up only about a fifth of the total cost of exhibiting. A study by the ifo Institute on behalf of the German trade fair association AUMA broke down exhibitors' spending: around 30 per cent goes on stand construction, fittings and design, around 21 per cent on space rental and basic charges. Staff and travel take most of the rest. To estimate the total cost, you therefore multiply the space rental by roughly five.
At a trade fair, exhibitors pay for space and visitors walk the halls to compare offers, while at a professional conference a programme committee chooses who speaks. AUMA counts around 300 national and international trade fairs in Germany for 2025, with around 190,000 exhibitors and 12.75 million visitors.
An example shows the order of magnitude. A stand of 20 square metres at 200 euros per square metre costs €4,000 in rent, and at a share of about 21 per cent that gives a total of about €19,000. Divide that sum by €1,700, the agency figure at three talks, and the stand has to deliver eleven serious conversations to match it.
How many leads does a trade fair bring?
Three figures decide how many leads a trade fair brings: the number of people on the stand, the number of fair days and the length of a serious conversation. A conversation in which someone describes their problem takes ten to twenty minutes, with breaks and passing traffic in between. On this calculation, two people over four fair days reach a two-digit to low three-digit number of serious conversations, depending on how many visitors from your target group stop by.
How the stand counts is what matters. If it counts every visitor who allows a badge scan, the result looks good, but it cannot be compared with a talk. How trade fairs and webinars compare with LinkedIn and the conference stage as channels is covered in Webinar, trade fair, LinkedIn or conference stage.

Who a trade fair stand pays off for
A trade fair stand pays off for small companies when their buyers visit the fair specifically to compare and the product can be shown on site. Machines and equipment belong here, as does software with a convincing demo. Joint stands run by associations and federal states lower the cost considerably, and young innovative companies can receive federal funding for selected trade fairs in Germany.
For consulting and services that need explaining, more speaks for the stage. There an audience listens to you for twenty to forty minutes before the first conversation begins, and the people who approach you afterwards have already experienced your thinking. The conference route pays off most for experts with high contract values and little time.
What does a won contract cost?
In the worked example a won contract costs about €12,800 through the agency and about €21,900 through bought slots at €10,000. From the rule of thumb of five conversations and two meetings per talk, with one contract per three meetings, one talk brings in two thirds of a contract, so three talks a year bring two contracts. Through the agency these two contracts cost €25,680, through bought slots €43,800 for the same result. If a won client brings you more revenue than that sum, the channel has paid for itself in the worked example.

Frequently asked questions
What does a trade fair stand cost in B2B?
A B2B trade fair stand costs roughly five times its space rental, because the rental is only about a fifth of the total cost. A stand of 20 square metres comes to about €19,000 in the example, including construction and staff. To match a conference talk through the agency, it has to deliver eleven serious conversations.
What does a square metre of trade fair stand cost?
Space rental at German trade fairs with national or international reach usually costs between about 100 and 300 euros per square metre. With construction and staff, a square metre costs roughly five times that overall. Corner and end stands open on several sides cost more.
What does conference sponsorship cost?
The organiser sets the price per package, and packages range from a logo and table to a speaking slot. A single speaking slot quickly costs 10,000 euros or more. Sponsored talks are often not marked in the programme, but specialist audiences still frequently recognise them.
What is a good cost per contact in B2B?
A good cost per contact in B2B is below what a serious conversation costs through your other channels, measured with the same unit. In our worked example a conference talk through the agency costs between about €1,700 and €3,300 per conversation. A won contract costs about €12,800 there.
How many leads does a trade fair bring?
A trade fair brings as many leads as your stand staff hold serious conversations with visitors from your target group. At ten to twenty minutes per conversation, two people over four fair days reach a two-digit to low three-digit number. Scanned badges count much higher, but they cannot be compared with conversations.
Is a trade fair stand worth it for small companies?
A trade fair stand is worth it for small companies when their buyers visit the fair to compare and the product can be shown at the stand. Joint stands and federal funding for young innovative companies lower the cost. For consulting and services, a talk at a professional conference usually leads to a conversation more cheaply.
Is a bought speaking slot cheaper than a speaker agency?
From the second talk a year, a bought speaking slot costs more than a speaker agency. In the worked example a slot at €10,000 costs about €2,900 per conversation, the agency about €2,100 at two talks and about €1,700 at three.
If you want to go through the calculation with your day rate and your topic, we can do that in a first conversation.
