Speaker agency for AI consultants and data experts

Marin Niehues·11 min read

A speaker agency puts AI consultants and data experts on conference stages as a done-for-you service, taking over the talk, the conference search and the follow-up after submission. Done-for-you means the agency does the work while you contribute your expertise and approve the materials once before the start. Anyone who wants to become a speaker at an AI conference finds plenty of stages, because our conference database classes 2,026 business events under artificial intelligence, more than under IT and software. Since many experts with similar topics apply for these stages, the way the talk is framed decides whether it is accepted. This article shows what the market looks like, which AI topics programme committees accept, what an agency takes on and what it costs.

How many AI conferences are there?

In our conference database, 2,026 of around 37,000 classified business events have artificial intelligence as their main topic, most of them in the German-speaking region. Business events are events for a professional audience, from the professional conference, where people in an industry hear talks about their field, to the trade fair. AI is therefore ahead of marketing and sales with 1,802 events and ahead of IT and software with 1,605.

Some events fill their programme by invitation, others through a call for papers, the public announcement with which a conference collects talk proposals. For this second route we analysed 2,415 conferences that publicly invite talks for 2026. Of these, 356 belong to AI and data, which is 14.7 per cent and the largest single subject after general conferences.

Which deadline suits which talk is something an agency tracks continuously, because deadlines shift and new calls appear every month.

Two audiences for AI and data

An AI conference means one of two very different events. At technical conferences the audience is developers and data engineers comparing methods and tools, while business events on AI are attended mainly by executives and heads of department who want to know what AI changes in their company and what implementation costs.

Which of the two suits you follows from who buys your offer. Anyone advising management on strategy and implementation meets future clients more often at business events. Anyone selling services around data platforms or model operations is more likely to find the technical decision maker at a developer conference.

The routes in differ too. Technical conferences mostly advertise their slots publicly, while many business events fill their programme by direct approach. For such events the agency writes to the programme leads itself, as the article Contacting organisers directly describes. A service provider that only searches calls for papers therefore reaches only a small part of the business side of the market.

Which AI topics do programme committees accept?

Programme committees accept AI topics that show experience from real operations and make a decision easier for the audience. A programme committee is the group that decides on submissions at a conference, and it reads so many AI proposals that general overviews of opportunities and risks rarely get through. Four criteria make a proposal stand out. The first is the step from prototype to regular operation, because many companies have pilot projects behind them and are looking for ways to run an application permanently. The second is evidenced results, such as measured time savings, error rates or cost per request from a project of your own.

The third criterion is an honest review of failures, because an audience often learns more from a failed project than from a success story. The fourth is the link to questions decision makers have to solve right now, such as data quality, governance or the obligations under the EU AI Act, whose first rules have applied since 2025. A talk about your own tool is read by a professional audience as advertising, while a talk about a problem the audience has, in which your tool appears only as an example, is received as a professional contribution. What does a speaker agency for AI consultants take on?

A speaker agency for AI consultants takes on the whole route from talk topic to stage. This is the work Stage Starter takes on for you: we find the right calls, write the submission and submit it. AI experts usually bring more material than fits into a slot, the time window of a single talk, and we cut a topic from it according to the criteria above. How much work lies between topic and finished talk is described in Having your talk developed.

The talk becomes the abstracts, the short descriptions of the planned talk that a programme committee reads before deciding. Then we research conferences in both worlds, submit in your name and keep track of the deadlines. After submission we follow up, and if a talk is accepted, we support you to the stage, for example when agreeing technology and time slot with the organiser. We write the abstracts from the experience of your AI projects and your stance on hype and feasibility, so that your talk stands apart from others on the same subject. The speaker agency guide gives the overview of services, models and costs.

What our submissions show about acceptance

Stage Starter has submitted 2,189 abstracts for clients, of which 1,374 have been decided: 94 were accepted and 1,280 rejected, which is around 7 per cent acceptance per abstract. At conference level the rate is higher, because we often submit several abstracts per conference and one acceptance is enough, and of 433 decided conferences, 83 accepted. We therefore reach up to 19 per cent acceptances per conference, while 5 per cent at most is typical in the market at this volume of submissions.

No agency can guarantee an acceptance, because the programme committee decides. The agency controls how many submissions go out, how good the abstracts are and which conferences are approached. With twenty conferences and 19 per cent per conference, the calculated chance of at least one acceptance is 1 − 0.81^20, around 98 per cent. How the rates are made up is explained in Acceptance rates for calls for papers.

What does a speaker agency for data experts and AI consultants cost?

At Stage Starter, working together costs from €990 net per month for the whole operation from research to follow-up. Anyone who wants a written roadmap first starts with the Speaker Audit from €2,000 net, which is credited when you book the agency. Alongside this there is pay to speak, where an organiser sells speaking slots, usually as a sponsorship package, and a single speaking slot quickly costs €10,000 or more. The other pricing models are covered in What does a speaker agency cost?.

Professional conferences generally pay no fee to speakers selected through the call for papers. Paid AI talks exist mainly as keynotes at corporate events, and there, according to speaker bureaus and trade media, fees range from €1,000 to €3,000 for beginners and €3,000 to €6,000 for established experts up to €6,000 to €15,000 for well-known keynote speakers. For an AI consultant, a single engagement won through a talk is worth more than any fee, because an implementation project usually exceeds these amounts many times over. Stage Starter therefore brings you onto professional stages where your clients sit.

Who the model pays off for most in AI and data

The agency pays off most for AI consultants and data experts for whom one client won brings in more than the €11,880 net that €990 net per month adds up to over twelve months. A diary with few free days fits the picture, as does the aim of reaching a professional audience that awards AI projects. Anyone who writes submissions alone and keeps days free for it takes the more laborious route, and those days can be set against your own day rate.

Frequently asked questions

How do I become a speaker at a conference as an AI expert?

As an AI expert you become a speaker by answering a call for papers with a talk proposal or by approaching an organiser directly and being invited into the programme. If you do not want to do the work yourself, you hire a speaker agency that covers the route from talk and research to follow-up.

Is there a speaker agency specifically for AI consultants?

Yes, Stage Starter works as a speaker agency for consultants and business owners, including AI consultants and data experts who want to win B2B clients through conference talks. We develop the talk and abstracts, research the conferences and submit in your name.

Which AI topics do programme committees accept?

Programme committees mainly accept AI topics that show experience from regular operation, evidenced results or the review of a failure. Talks on data quality, governance and the obligations under the EU AI Act are also in demand. General overviews of opportunities and risks have little chance because of the many similar submissions.

How do I stand out as an AI speaker?

You stand out when your abstract solves a concrete problem the audience has and cites figures or experience from your own projects. A clear stance on hype and feasibility sets you apart from proposals that only list possibilities. An agency develops that framing with you.

How many AI conferences are there?

In our conference database, 2,026 business events have artificial intelligence as their main topic, most of them in the German-speaking region. Of the 2,415 conferences that publicly invite talks for 2026, 356 belong to AI and data, which is 14.7 per cent.

Do AI speakers get paid a fee?

At professional conferences with a call for papers, the organiser usually provides a ticket and sometimes covers travel costs, and pays no fee. Fees are paid mainly by corporate events for keynotes, around €1,000 to €3,000 per talk for beginners. For a consultant, the engagement won through a talk brings in many times that.

What does a speaker agency for data experts cost?

At Stage Starter, working together starts from €990 net per month, and the Speaker Audit as an entry point costs from €2,000 net and is credited when you book the agency. With pay to speak, by contrast, a single speaking slot quickly costs €10,000 or more.
