A speaker agency suits you if you lack the conference stage, speaker coaching if you want to come across better on stage, and doing it yourself if your diary has room. The three routes solve different problems: coaching improves the performance, and the place for it comes from an agency or from your own work. At a professional conference, that place is decided by a programme committee, the group that selects talk proposals, and it decides on written abstracts (the short description of a planned talk) before it has ever heard you speak. This article sets the three routes side by side, names the cost of coaching and shows which starting point suits which route.

**Anyone who wants to win B2B clients through professional conferences first needs a place in the programme, and that place comes from an agency or from your own work. Speaker coaching improves the performance once you are there.**

## What does a speaker coach do?

A speaker coach works with you on what the audience sees and hears, which means stage presence, voice, body language and the structure of a talk. It is a craft in its own right and it has real value. If you have to speak to a large room with little practice, rehearsing with feedback builds confidence, and if you know your subject well, a coach helps you arrange it into a thirty-minute slot that a specialist audience can follow. Good coaches work with video recordings of your rehearsals, because seeing your own effect changes more than any description of it. How such a talk is built is described in [How do I build a good talk for the stage?](/en/blog/how-to-build-a-good-conference-talk/).

Speaker coaching works on the performance, and conference research, submission and follow-up are not part of its core. Some coaches help polish an abstract or know organisers through their network, but they do not usually run the ongoing operation of research, deadlines and submissions. Coaching therefore needs an occasion to practise for, which means a booked talk. For an expert who wants to win clients and has no invitation yet, the bottleneck sits at an earlier point.

## How much does speaker coaching cost?

Speaker coaching in Germany usually costs €150 to €250 per hour, which puts packages of several sessions in the four-figure range, while longer programmes and speaker training courses reach into the low five figures. The annual coaching market survey for the German-speaking region serves as a benchmark: for business coaching it found an average hourly rate of about €176 net in 2024, and coaches with more than fifteen years of experience charged a little over €210. Specialised speaker coaches with their own stage experience often charge above that average, and open group rhetoric seminars below it.

Four criteria set the price: the coach's experience on real stages, the format (one-to-one, group or full-day workshop), the number of sessions, and whether a dress rehearsal in front of an audience is included. If you are preparing a talk for a professional conference, a few focused sessions between acceptance and the talk are usually enough.

**Speaker coaching in numbers**
- about €176 net | average per hour in business coaching, 2024
- 3 to 6 sessions | to prepare for one specific talk
- 2 to 6 weeks | typical span from first to last session

Speaker coaching for one specific talk usually takes three to six sessions over two to six weeks. If you want to build stage confidence in general, plan several months with real talks in between, because routine comes from the stage and only partly from the rehearsal room. Months often pass between acceptance and a professional conference anyway, and that time is enough for focused coaching.

## How is a conference stage awarded?

Professional conferences award a large share of their speaking slots through a call for papers, the public announcement with which a conference collects talk proposals. You send a title and an abstract with a short bio, and the programme committee selects from the proposals. What counts is the benefit to the conference audience, and that has to be visible in the topic and the angle of the proposal. What a committee looks for is covered in [What a programme committee looks for in an abstract](/en/blog/what-a-programme-committee-looks-for/).

At this stage nobody has heard your voice. The decision is made on a document, so the work before the stage lies in research and in shaping the proposals, and coaching helps little at this point. No agency can guarantee an acceptance, as the programme committee decides.

If you do not want to take the route through the call, you can buy the place. Pay to speak quickly costs €10,000 and more for a single speaking slot, usually as part of a sponsorship package. Sponsored sessions are often not labelled as such in the programme, although a specialist audience frequently recognises the promotional angle from the content. Working with an agency starts at Stage Starter from €990 net per month by comparison and covers the whole operation, from research to accompanying you onto the stage.

## Doing it yourself: how much time the do-it-yourself route ties up

Doing it yourself saves the monthly fee and ties up days that are missing when your diary is full. What it costs can be read from our own figures. Stage Starter has submitted 2,189 abstracts for clients, of which 1,374 have been decided: 94 were accepted and 1,280 rejected, which is about 7 per cent acceptance per abstract. We often submit several abstracts per conference, and at that level we reach up to 19 per cent per conference, whereas 5 per cent at most is typical in the market at this volume of submissions.

The rate sets the scale. For four to six talks a year, about 60 to 90 decided abstracts are needed at 7 per cent, and an operation that works on volume reaches at least a hundred submissions to around twenty conferences in the first month and at least fifty a month after that. With finished profiles on submission platforms, fifteen to twenty submissions a day are realistic, and if you tailor each submission to one conference, you manage four to six. Groundwork on the topic and the abstracts comes on top, and follow-up ties up a further share. The full calculation is in [Submit yourself or hire a speaker agency](/en/blog/submit-yourself-or-hire-a-speaker-agency/).

## Speaker agency: what it takes over and what stays with you

A speaker agency for experts takes over the whole route to the stage, from topic and abstracts through conference research to submission and follow-up. [Stage Starter](/en/) does this work for you: we find the right calls, write the submission and submit it, then we follow up and accompany acceptances all the way to the stage. From you we need your expertise and one approval, which you give for the talk and the abstracts once before the start, so not every submission has to cross your desk. You give the talk yourself, and you hold the conversations afterwards as well, because that is where the contact with your future clients arises. All services, pricing models and processes are summarised in the [speaker agency guide](/en/blog/speaker-agency-guide/).

This produces a division of labour that fits with coaching. Voice and delivery stay your field or a coach's, and the search for the stage lies with the agency. The months between acceptance and the talk can be used for coaching if you wish.

**An entry point with a plan**
If you want a written plan before deciding, you begin with the Speaker Audit from €2,000 net. It is credited if you later book the agency. The collaboration itself starts from €990 net per month.

## The three routes compared

The overview shows who does the work, what it costs and when each route fits.

**Doing it yourself, speaker coaching and a speaker agency compared**
Criterion | Doing it yourself | Speaker coaching | Stage Starter
Who finds conferences and submits | you | you, coaching does not cover it | we do, in your name
What the work is about | your own submissions | presence and rhetoric | the whole submission process
What it costs | days of your working time each month | usually €150 to €250 per hour | from €990 net per month for the whole operation
Fits if | your diary has room | you have talks booked and want to come across better in the room | your time is short and clients are the goal

## For whom the agency pays off most

The agency pays off most for experts with a settled topic, a full diary and a high order value who have no invitation yet. For them the bottleneck lies before the stage: research and abstracts run over months, and deadlines and follow-up demand constant attention. Stage Starter pays for itself with one won client whose contract brings in more than a year of monthly fees. What an agency costs and what the monthly fee should include is described in [What does a speaker agency cost?](/en/blog/speaker-agency-cost/).

If you already have invitations and feel unsure before the talk, coaching starts in the right place. The place is there, and what matters is what you make of it, while the agency secures the next places in parallel.

Anyone who wants to submit alone chooses the more labour-intensive route. Count the submission volume from the section above and keep the days free in your calendar, because follow-up is hard to postpone, and each of those days is missing from client work.

**Speaker coaching improves the performance, while a speaker agency or your own work secures the stage. If you have no stage yet and little time, the agency is the fastest way to talks in front of your future clients.**

## Frequently asked questions

### Speaker coaching or agency: which is better for consultants?

For consultants without a conference stage the speaker agency is the better route, and for consultants with talks who want to come across more confidently, the speaker coach. The agency secures places in the programme and handles research and submission for that. The coach works on voice, presence and the structure of the talk. The two can be combined, because they start at different points.

### What does a speaker coach do?

A speaker coach trains stage presence and rhetoric with you. They work on voice and body language and on the structure of a talk, and they give you feedback on rehearsals. Choosing conferences and submitting proposals are not part of the core of coaching.

### How much does speaker coaching cost?

Speaker coaching usually costs €150 to €250 per hour, and the coaching market survey puts the 2024 average for business coaching at about €176 net. Packages to prepare one talk are usually four-figure sums, and longer programmes reach into the low five figures. Group seminars cost less, experienced stage coaches more.

### How do I find a good speaker coach?

You recognise a good speaker coach by their own stage experience in front of specialist audiences, by references from speakers in your field and by their work with video recordings of your rehearsals. A short introductory call shows whether they understand your topic and give concrete feedback. Membership in professional bodies such as the German Speakers Association is a further indicator.

### How long does speaker coaching take?

For one specific talk, three to six sessions over two to six weeks are usually enough. If you want to build stage confidence in general, plan several months with real talks between the sessions. The time between acceptance and the conference is normally sufficient for focused coaching.

### Do I need rhetoric training as a consultant?

You need rhetoric training as a consultant if you speak to large rooms with little routine or if feedback on your talks is lukewarm. If you present confidently in workshops and client meetings, you usually already have the basis for a professional talk. For winning clients, the first question is whether you get onto the right stage at all.

### Can a speaker coach get me conference talks?

Arranging talks is not part of the core of coaching. Anyone looking for talks through open calls needs research and abstracts for the submissions, and a speaker agency or you yourself does that work.

### When is it worth submitting yourself?

Submitting yourself is worth it if your diary regularly has free days and your day rate is lower than an agency's monthly fee. At about 7 per cent acceptance per abstract, you need roughly 60 to 90 decided abstracts for four to six talks. Groundwork and follow-up come on top.

If you want to know which professional conferences suit your topic and what the submission operation would look like for you, we can clarify that in an [initial consultation](/en/erstgespraech/).
